Contest Registration Check List
1) Date - Select a date(s) for your event
- Use the Event page on the Region 6 web site to avoid a scheduling conflict with other clubs.
- Try to maintain a 2-week span of time between your event and those planned by clubs within a 250 mile radius.
2) Contact your Regional Coordinator (r6coordinator@htwebservices.net) and provide the following info:
- Name of chapter, chapter contact and mailing address, phone number and email address (Chapter contact can be the contest director rather than the official chapter contact)
- Name of event and date(s) (What will the group function actually be (contest, display, make n take, seminar, etc ?)
- Name of the facility
- Physical address of the facility
- Name of any additional insured for the facility ( i.e. owner of a mall, or name of city owning a facility )
Turn-around time to receive RC acknowledgment is under 24 hours when all 5 pieces of information are included in the original e-mail.
3) After receiving RC acknowledgment that your date is not in conflict with other scheduled events, go on-line and complete the on-line Event Registration Form located on the IPMS/USA national web site. (Link will open a new window.)
- Do not assume that the IPMS/DLC gets this info from the Regional Coordinator (although that will be a safe assumption if you provide the infomration to the RC6, as requested in # 2 above). You must complete the on-line form in order for the process to continue beyond this point.
- The IPMS/DLC will take no action on your information until he has received the on-line form (which is e-mailed to the IPMS/DLC automatically when you "submit" the on-line form) and acknowledgment from the RC that your date has been approved.
- Bypassing the IPMS/DLC and sending your club info directly to the IPMS web master and IPMS Journal editor will not result in your information being published.
- The IPMS/DLC requires at least 10 weeks advance notice if you expect to get your announcement in the Journal.
- On another note, due to space limitations, your notice may not appear until closer to your show date. You may find that other shows in the same month are there, but not yours. This happens because the Journal editor the other notices earlier, set up his printing and was set to go when yours arrived. Since your date wasn't until six months ahead, he would wait until yours was due.
- Applicable only to clubs hosting a Regional Convention: Each host of a regional is entitled to a 1/4 page ad in the Journal. The ads are to be submitted directly to the editor in print ready form. You may contact him for exact details. In addition, the host chapter is entitled to a $200 startup bonus. There is a criterion to be met for this bonus. The host chapter must give a discount for IPMS members and this must be included in your show announcement. In addition there must be categories for junior entries. You may submit your request for the $200 grant directly to the IPMS Treasurer.
4) Apply for insurance coverage immediately upon receiving acknowledgment from your RC and following the submission of the on-line Event Registration Form. Please provide the following information to the IPMS Office Manager. Please note that this is the same information you supplied to your RC in step # 1.
- Name of chapter, chapter contact and mailing address, phone number and email address ( Chapter contact can be the contest director rather than the official chapter contact)
- Name of event and date (s) (What will the group function actually be (contest, display, make n take, seminar, etc ?)
- Name of the facility
- Physical address of the facility

A Final Note: If you plan to host a Make-N-Take please contact Steve Dottavio, the IPMS Make N Take Coordinator, so that he can get your kits/supplies in the works. Please note that Steve uses the same postal service you use and you should not expect him to teleport the M&T supplies to you in an instant. Give Steve at least 2 months to acquire and then deliver the goodies to your club.
